2. Information we collect
When you request a quote, we collect the service category and options you select and the job details relevant to that service: for vehicle services, vehicle type, make/model, optional model year and condition details when relevant; for lawn mowing, approximate lawn size, condition, clipping preference and frequency; for home cleaning, type of clean, frequency, numbers of bedrooms and bathrooms and requested areas; and for personal chef services, the type of request and approximate number of people. We also collect your Auckland suburb, preferred timing and service arrangements, your name and email address, and any optional phone number or notes. Please leave out sensitive personal information unless it is needed for your request. We also keep related communications, the request reference, status and relevant records of any approval to share your information.
If you send feedback, we collect the category you select, your message and any email address you choose to provide. We use this information to improve HelpMint, investigate issues and reply where requested. Feedback is delivered to our support team through our email service provider. Providing an email address is optional; without one, we cannot reply directly.
If you contact us as a prospective provider, we may collect your business and contact details, services, coverage area and other information you choose to provide. We will explain any additional verification or background-check information before collecting it; public provider registration and routine background checking are not part of the initial website.
Our website and technology suppliers may also process technical data needed to operate and protect the service, such as IP addresses, browser/session information and security or access logs. The current quote form does not request payment-card information, vehicle VINs, registration plates or exact service addresses.
3. Why we collect and use it
We use information to respond to requests, understand the proposed work, find suitable providers, obtain and relay provider-approved quotations, coordinate introductions and agreed arrangements, deal with questions and complaints, protect the service and comply with applicable law.
Providing a quote request is voluntary. If you do not provide essential service or contact details, we may not be able to respond. A quote request does not confirm an appointment or require you to buy a service.
4. Sharing information with providers
Before contacting a potential provider about your job, we may share a suitably non-identifying description of the work, general area and preferred timing. We take care not to include unusual details that could reasonably identify you.
We ask for your agreement before sharing your name, contact details, exact service address or other identifying information with a selected independent provider. We tell you which provider is involved and which details we propose to share. We record your response. You may decline the introduction or restrict the details you agree to share.
After an authorised introduction, the provider is responsible for its own lawful handling of the personal information it receives. We may also disclose information where otherwise required or permitted by New Zealand law; such exceptions are not a routine way of sharing customer details for marketing.
5. Our technology and other recipients
Authorised HelpMint personnel and service providers may process personal information to operate our website, store information and deliver communications. Professional advisers may receive limited information when reasonably required.
Some information is stored or processed outside New Zealand. We take reasonable steps to protect it and remain responsible for our obligations under New Zealand privacy law.
We do not sell customer contact lists.
6. Security and retention
We use reasonable access restrictions and technical and organisational safeguards to protect personal information. No online system can guarantee complete security.
We keep information for only as long as reasonably necessary for a lawful purpose, including managing enquiries, recording introductions, responding to disputes and meeting legal obligations. We review records for deletion or de-identification when they are no longer required. Copies may remain temporarily in appropriately controlled backups, email records or limited audit/security records.
You can ask us to consider deleting information, although we may need to retain some information where the law or a legitimate lawful purpose requires it.
7. Your privacy rights and choices
You may ask to access personal information we hold about you and request corrections by emailing privacy@helpmint.co.nz. We may take reasonable steps to verify your identity. We will respond within the applicable New Zealand legal timeframe, generally 20 working days unless a lawful extension applies.
You can tell us not to make further introductions or withdraw permission for future sharing. This cannot automatically undo a disclosure that has already lawfully occurred.
Requesting a quote does not automatically subscribe you to promotional emails. Any future marketing will use an appropriate separate process.
8. Concerns, incidents and changes
Contact us at privacy@helpmint.co.nz if you have a privacy question or complaint. You may also contact the Office of the Privacy Commissioner at privacy.org.nz.
We assess suspected privacy breaches and notify affected people and the Commissioner when required by New Zealand law.
We may update this statement as HelpMint changes. The website will display the current version and effective date. Significant new uses or disclosures will be assessed before they begin.
